Last updated 11 October 2026Applies to trademarkshub.comData-protection law: [to be confirmed]

In short

  • We never sell your data
  • No advertising or tracking cookies
  • Your phone number stays private until you share it
  • Firm directory entries come from public WIPO register data
  • Review documents are seen only by our team
  • You can access, correct or delete your data

1Who we are

TrademarksHub (“TrademarksHub”, “we”) operates trademarkshub.com. The operator is [Company name and address — to be confirmed]. We are the controller of the personal data described here. Questions and requests: [email protected].

We handle personal data in line with [Applicable data-protection law — to be confirmed].

2What we collect

  • Account details — name, mobile number, email, password (stored only as a secure hash), profile photo, bio, nationality, languages, years of experience. If you sign in with Google, we receive your name, email and photo from Google.
  • Firm and attorney profile details — firm, website domain used for verification, services, jurisdictions, working hours, office location and the contact details you add.
  • What you publish — posts and photos, service requests (service, jurisdictions, classes, and the mark name, budget and deadline if you add them), questions and answers, comments and replies, articles, packages, polls, reviews.
  • Review evidence — if you give us an invoice or engagement letter to support a review, or details of your mark so we can check its WIPO record. This is seen only by the TrademarksHub team and is never shown publicly.
  • Votes — your up / down votes on answers and your poll votes. Poll votes are anonymous to other members, including the poll’s author.
  • Messages — chats between brand owners, attorneys and firms.
  • Preferences — saved alerts (services, jurisdictions, keywords), saved posts, firms and attorneys, notification and chat-privacy settings.
  • Approximate country — when you start a chat, the country your connection comes from (provided by Cloudflare), shown to the firm or attorney as “Guest from …”.
  • Login and security data — for attorney and firm accounts: when you log in, from which approximate place (country and city, provided by Cloudflare), IP address, device and browser, to protect accounts and detect shared or taken-over accounts.
  • Technical data — IP address, device and browser type, pages requested and error details, used for security and to keep the site working.

3How we use it

  • To run the directory, feed, service requests, packages, questions and answers, polls, chat, articles and notifications.
  • To match service requests to firms and attorneys whose services and jurisdictions fit, and to notify them.
  • To verify firms (a code sent to an email on the firm’s own website domain, or a review by our team) and attorneys (a firm invitation or an email on the firm’s verified domain).
  • To check that a review comes from a real engagement, using a consultation or request on TrademarksHub, a document you give us, or the public WIPO record of your mark.
  • To send messages you asked for or expect — sign-in codes, replies, alerts, review decisions.
  • To prevent spam, fraud and abuse (rate limits, security logs, moderation).
  • To understand how the site is used, with a private visit counter that stores only a daily one-way fingerprint, deleted after two days, and no cookies.
  • Marketing emails only with your consent; you can unsubscribe in one click.

Our legal bases are: performing our service for you, your consent (for marketing and optional features), our legitimate interests (security, fraud prevention, running a public directory of IP professionals), and legal obligations.

4What is public

Firm and attorney profiles, posts, articles, packages, reviews, public replies, questions and answers are visible to everyone and can appear in search engines and AI assistants. Service requests are shown to matching firms and attorneys. Your phone number is shown to a firm or attorney only when you choose to share it; chats are private between the participants. Questions show only your first name, or no name if you ask anonymously. Reviews may show a “Verified engagement” badge, but never the documents or holder details behind it. Poll results are shown as totals; who voted for what is never shown.

5Who we share data with

We share personal data only with service providers that run the platform on our behalf, under contract:

  • Cloudflare — network security, content delivery and file storage (photos).
  • Mailgun — sending email.
  • Our hosting provider — servers and databases.
  • Google — web fonts, sign-in with Google (if you use it) and map / business data for firm pages.

We also disclose data when the law or a competent authority requires it. We never sell personal data and do not share it for advertising. Some providers process data in other countries; we use providers that apply appropriate safeguards.

6Public register data

Firm directory records — such as the firm’s name and address — come from WIPO’s Madrid register (ROMARIN), where firms act as representatives for trademark owners. This is public register data; we use it to list firms and refresh it from the register. We may email a firm listed in the register to invite it to claim its profile or to tell it about a service request that matches its services and jurisdictions; every such email includes a way to stop further invitations.

A firm that claims its profile controls what it adds to it; register details can be corrected by contacting us. When we check a review against the WIPO record of a mark, holder details are never shown.

7How long we keep it

  • Account data — while your account is active and up to 12 months after it is closed.
  • Chats — while either participant’s account is active.
  • Login history — 12 months. Security logs — 30 days. Visit fingerprints — 2 days.
  • Posts, articles and reviews — until you or we remove them, or your account is closed.
  • Review evidence (invoices, engagement letters) — [retention period — to be confirmed].
  • Register records — while they appear in the public register.

8Your rights

You can ask to access, correct or delete your personal data, to restrict or object to its use, to receive a copy, and to withdraw consent at any time. Email [email protected]; we reply within 30 days and may ask you to confirm your identity. You can edit most details yourself in Settings. If you are not satisfied, you may complain to [the competent data-protection authority — to be confirmed].

9Security

We use encrypted connections (HTTPS), hashed passwords, rate limits, CSRF protection, access logging and restricted admin access. No system is completely secure; if a breach affects you, we will notify you and the authorities as the law requires.

10Children

TrademarksHub is for adults. You must be 18 or over to create an account. We do not knowingly collect data from children; if you believe a child has given us data, contact us and we will delete it.

11Changes to this policy

We will update this policy when the platform changes. We show the date of the latest version at the top and, for significant changes, tell registered users by email or a notice on the site.
